You just wrapped up a successful 3CX Web Meeting—collaboration was smooth, your team was engaged, and now you’re ready to review the session recording. But there’s a problem: the email containing your Web Meeting report and video file hasn’t shown up.

Don’t worry—this happens occasionally, and there are straightforward steps you can take to recover your 3CX video conference recording.


Common Reasons for Missing Web Meeting Emails

There are three likely reasons your 3CX Web Meeting report email hasn’t landed in your inbox yet:

1. Processing Delays (Conversion Still in Progress)

Longer meetings—especially those with multiple high-definition video streams or whiteboard content—take time to convert. In some cases, this process can take several hours. If it hasn’t been a full day yet, give it a bit more time.

2. Spam Filters or Email Delivery Issues

If more than 24 hours have passed, check your SPAM or junk folder. Sometimes your mail server might flag the automated message. Make sure to whitelist [email protected] and ensure your email system accepts messages from o3.smtp.3cx.net. If you use a custom SMTP, ask your system admin to verify delivery settings.

3. Rare Conversion Errors

Occasionally, a technical error might interrupt the video conversion process. Fortunately, when this occurs, 3CX’s internal monitoring will catch it and reschedule the task automatically. Once resolved, the email will be sent to you.


Don’t Wait Too Long – You Have 7 Days!

If your video recording was successfully created but the email failed to deliver, your MP4 recording is still available—but only for 7 days. After that, it’s automatically deleted from the system.

So don’t delay. If the email didn’t come through, act quickly to retrieve your file.


How to Find and Download Your 3CX Recording

There are two main ways to locate the recording:

Option 1: Use PBX Logs

Ask your 3CX system administrator to search the WebMeeting.log file from your PBX. Look for an entry labeled FinishedConversion around the time of your meeting. This log will include a direct link to the MP4 file.

Option 2: Use the 3CX Web Meeting API

If logs aren’t available or you prefer a self-service option, you can query the 3CX API for past meeting reports. Here’s how:

  1. Activate your WebMeeting API key in the 3CX PBX (under Settings > Conferencing).
  2. Use a curl command like the one below from any device with internet access:
